Position Information

Hiring Department: Records and Registration

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm.

FLSA status: Non-exempt

Earliest Start Date: As soon as possible.

Salary: $26,906 Annually.

The primary accountabilities are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.



Purpose of Position

Provides routine student support services in the establishment and maintenance of the official permanent records of student scholastic achievement in the Office of the Registrar.

Essential Functions
  • Provides high quality customer service to faculty, staff, and students.
  • Verifies all data entered into the permanent record files and insures accuracy.
  • Prepares new record files, retrieves data from files and updates existing files and records as requested.
  • Insures that all requests for file information are in compliance with the established policies and procedures.
  • Processes transcript requests.
  • Provides information respective to the compatibility of courses.
  • Makes faculty requested corrections to students' records.
  • Receives and processes data from official documents regarding student enrollment.
  • Checks and verifies the accuracy and completeness of data which has been processed and is knowledgeable about the student information system.
  • Updates existing files and records as requested.
  • Assists in the preparation of commencements and respective materials.
  • Retrieves data as required.
  • Assists in the verification of degrees, diploma replacements, and attendance verification.
  • Maintains security of records.
  • Interacts with students, faculty and staff in solving problems and answering questions regarding records.
  • Maintains a high degree of confidentiality on all of the sensitive information this position is privy to.
  • Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
  • Complies with all State and University policies.
  • Other duties may be assigned.
  • Supervisory Responsibilities: No supervisory responsibilities.


Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Qualifications:

Education: High school diploma or general education degree (GED).

and

Experience: One year of experience, related to the statement of duties and responsibilities; or equivalent combination of education and experience.
