Job Summary:
The Office Assistant 1 (Keyboarding) for the Professional Education Unit (PEU) supports the three Coordinators of Field Experience within the PEU with data entry and reporting.

Essential Functions:
  • Provides database input, documentation, record-keeping, word-processing, management, and maintenance for 1200+ placements in 200+ schools across NY State per year.
  • Communicates by phone, email, postal mail, and in person with relevant campus departments, schools, community agencies, and teacher candidates.
  • Supports two Education and Human Development (EHD) and one KSSPE program coordinators on student teaching and field experience matters including:
    • Sends out PE (Physical Education), Health student and EHD teaching and field experience requests and documents process in the Access databases.
    • Follows up with teacher candidates about program requirements, application deadlines, availability, and special districts requests/paperwork such as the need to be fingerprinted or get school board approval.
    • Supports placement follow-up including triaging questions and concerns from student teachers and SBTE's.
  • Tracks and documents placement hours through reconciliation of time logs.
  • Requests and processes all SBTE stipend paperwork then creates reports requesting payment for School Based Teacher Education (SBTE) vouchers and stipends. Follows up and tracks as needed.
  • Maintains records and generates correspondence for teacher candidates and University personnel regarding admission into the PE teacher prep program.
  • Participates in workshops, presentations, event planning/preparation and follow-up.
  • Provides departmental general information to students.
  • Copies, faxes, types, disseminates mail and maintains the copier and fax machine as needed.

Minimum Qualifications:

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Brockport location.

Preferred Qualifications:
  • Excellent attention to detail.
  • Experience with Microsoft Products (Access, Word, Excel).

Work Schedule: 37.5 Hours/Week; 8:00am-4:00pm
Salary, Benefits and Appointment:
$35,177

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
