POSITION PURPOSE
The Senior Director of Faculty Affairs and Planning is responsible for the management of faculty affairs for the Leavey School of Business including but not limited to all contractual and operational and planning support. This position requires interpersonal and analytical skills which will enable the incumbent to administer in a manner that is adaptive, responsive, innovative, and technologically skilled, exhibiting excellence in administration and service.
The Sr. Director is critical to the daily operations of the Business School and serves as the primary liaison to academic leadership including the Dean, the Dean's Leadership team, and the academic department chairs.
This position supervises a team of 6 full-time senior administrative assistants and reports to the Senior Assistant Dean for Finance and Administration.
Essential Duties and Responsibilities
1. Faculty Affairs
- Leads contract review process including first level assessment in advance of any contract approval or submission for all faculty with Leavey; ensure compliance with all Federal, State, Local and University laws, rules, regulations, policies and procedures; ensure expenditures are within established budgets.
- Collaborate with the Dean and Senior Assistant Dean of Finance & Administration to administer the School's faculty contracting process; preparing all contracting documents, coordinating approvals, executing contracts, reviewing status of all contracts monthly, processing payment of contracts; and processing the closing of all contracts including all faculty categories of employment.
- Track and report on all financial expenditures related to LSB faculty affairs, including but not limited to salaries, supplemental pay and start up grants
- Keep accurate records on all rank and tenure information related to faculty within the Leavey School of Business.
- Direct the maintenance of a database of faculty accomplishments, merit performance scores, faculty personnel records, annual review of research proposals, and allocation of grants, in consultation with Associate Dean(s).
- Collaborate with the LSB Rank and Tenure Committee including oversight of preparation of applicant packages, external review processes, and processing of confidential materials.
- Lead and support the ongoing creation of start-up internal grants, the annual faculty merit allocation process, supplemental pay, and course release allocation processes.
- Direct onboarding process for all new faculty at the Leavey School of Business, in collaboration with the Associate Dean(s).
- Provides reporting support for all faculty operating budgets.
2. Budget and Administration
- Advise and support Sr. Assistant Dean, Finance & Admin, LSB Dean's Office in decision making, university regulations and execution, process improvement analysis and implementation.
- Provides financial reporting support for all department operating budgets and annual expenditures, as they relate to the annual Faculty Salary budget.
- Create and facilitate onboarding process for all new staff members.
- Provide training to new and continuing staff including but not limited to Workday, Contracts, etc. Create training materials to support this work.
- Manages LSB Org Chart, staff email lists, and updates & disseminates LSB phone list on a quarterly basis.
- Ensure all HR processes within LSB are implemented in a manner that is compliant with all SCU policies and procedures. Ensure all policies and processes are applied consistently and equitably throughout LSB.
- Manage and supervise department management team (six staff), overseeing daily and quarterly operations and activity. These admins work closely with the six department chairs for which this position serves as a direct advisor to.
3. Academic Planning and Curriculum Management
- Facilitate the internal and external curriculum approval processes and coordinate the annual catalog.
- Manage the scheduling process, including course master file updates, prerequisite entries, section data updates, and classroom assignments.
- Provide training sessions for faculty and staff on curriculum management systems and ensure compliance with rules and policies.
- Conduct audits and generate reports related to curriculum to ensure adherence to academic and institutional standards.
- Build and maintain an internal LSB course schedule database and collaborate with Academic Departments to ensure accuracy and clear communication.
4. Special Projects & Other Duties as Assigned
- Complete special projects and other duties as assigned
- Ensure business continuity representing the LSB at University meetings and as liaison with external constituencies, on behalf of Senior Assistant Dean when unavailable.
Provides Work Direction to:
Six (6) Senior Administrative Assistants: Management, Accounting, Finance, Marketing, Information Systems & Analytics, and Economics.

Knowledge
- Knowledge of and experience with essential computer programs, and familiarity with Workday helpful.

- Polished interpersonal skills, with the ability to handle difficult or demanding constituents tactfully.
- Ability to work effectively with faculty, students and staff as well as university administrators at various levels.
- Ability to handle multiple projects, set priorities, exceed deadlines, and maintain a high level of performance in a fast-paced environment with frequent interruptions.
- Ability to work effectively with staff across non-hierarchical relationships.
- Ability to maintain a high level of confidentiality
Education and/or Experience
- Bachelor's degree required; minimum of 6-8 years work experience in administration of complex organizations, including experience in the management of personnel functions, and demonstrated leadership.
- Experience in higher education administration preferred
