Department Information
DEPARTMENT SPECIFIC TASKS AND RESPONSIBILITIES:
1. Develops and maintains reports to track operational and utilization activities, ensuring data accuracy and relevance
2. Assists with the faculty applicant tracking system, providing support for recruitment and hiring processes
3. Supports AVPs in areas such as accreditation, faculty affairs, and other academic operations
4. Coordinates domestic and international travel arrangements as needed, ensuring all logistics are managed efficiently
5. Oversees contract processing as required, ensuring timely and accurate completion
DEPARTMENT SPECIFIC KNOWLEDGE, SKILLS, AND ABILITIES:
1. Knowledge with college units and personnel
2. Knowledgeable regarding college policies, procedures, and practices
3. Advanced knowledge of virtual meeting platforms such as TEAMS, Zoom, and other collaborative technologies
4. Must be able to manage sensitive and confidential matters
5. Must be able to read, analyze, and interpret items such as reports, tables, and other print-related materials
6. Excellent oral communication skills are required while interacting with faculty, staff, students, and external constituents, including the ability to communicate with diplomacy and tact
7. Work requires fact-finding and compilation skills plus the ability to perform a variety of tasks
Job Summary
Focuses on dynamic project management, ensuring the effective planning, coordination, and execution of strategic projects. Plays a pivotal role in facilitating clear and impactful executive-level communication, conducting data analysis to inform decision-making, and managing administrative and event coordination tasks. By spearheading these efforts, the position contributes to the overall success of the department, fostering collaboration, and supporting Kennesaw State University's commitment to excellence in higher education.
Responsibilities
KEY RESPONSIBILITIES:
1. Leads the planning, coordination, and execution of various strategic projects within the department
2. Develops project plans, establishes milestones, and ensures seamless collaboration among team members, tracks project progress and proactively addresses potential roadblocks
3. Provides essential administrative coordination support to division leadership, including calendar management, scheduling high-priority meetings, and handling critical correspondence, maintaining confidentiality and handles sensitive information with discretion
4. Develops and delivers executive-level communications, presentations, and reports, ensuring clarity, professionalism, and alignment with the strategic goals of the division
5. Collaborates with stakeholders to gather relevant information for communication purposes
6. Collaborates on data-driven decision-making processes by collecting, analyzing, and reporting of department data
7. Maintains databases, ensuring data accuracy, and generates insightful reports and summaries to support strategic initiatives
8. May plan and execute high-profile events, such as workshops, seminars, and outreach programs in collaboration with others
9. Manages event logistics, invitations, and ensures events run seamlessly, contributing to the overall success of the initiatives
10. Ensures the integration of department initiatives aligns with the university's overall strategic objectives
11. Develops and maintains reports to measure operational and/or utilization activity
12. Assists with primary site administrator for faculty applicant tracking system
13. Provides support to department leadership in such areas as accreditation, faculty affairs, curriculum, etc.
Required Qualifications
Educational Requirements
Bachelor's degree from an accredited institution of higher education in a related field
Required Experience
Two (2) years of related work experience
Preferred Qualifications
Preferred Educational Qualifications
An advanced degree from an accredited institution of higher education in a related field
Preferred Experience
Experience with project management software solutions
Experience in higher educationADDITIONAL QUALIFICATIONS:
Experience running reports, organizing, and cleaning data

Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite)
Proficiency in creating executive-level presentations and communications
Positive attitude, flexibility, and the ability to work both independently and as part of a team
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
